Participant Terms & Conditions

BACKGROUND
These Terms and Conditions govern your purchase of services from Iron and Zen. By purchasing or engaging in our services, you agree to be bound by these Terms.
By making a downpayment, you confirm that you are an adult with the authority to enter this agreement and accept all terms.
We provide no warranties or representations beyond what is explicitly stated here, and our responsibilities are limited as outlined below.

PAYMENTS, CANCELLATIONS & REFUNDS

• 14 days prior to arrival = Full refund minus 8% processing payment fees

• 13 - 8 less days prior = No refund, but your downpayment may be transferred to a future Iron and Zen colive (based on availability)

• 7 days prior = No refund

• No show = No refund

• We strongly recommend purchasing trip insurance to avoid financial loss due to late cancellations.
  Iron and Zen reserves the right to reject bookings if there is a values misalignment or inability to work remotely.

CHANGES & TRANSFERS
If you wish to modify your booking, let us know as early as possible.
We’ll do our best to accommodate changes, but we can’t guarantee them.
Approved changes may include rate adjustments or additional fees.

If someone in your group can’t attend, you may transfer the booking to someone else who meets eligibility.
Otherwise, our standard cancellation policy applies.

RESPONSIBILITY
Iron and Zen facilitates travel, accommodation, and experiences with third-party providers.
We are not responsible for their services, safety, or quality.
We are not liable for injury, loss, damage, delays, or disruptions caused by third parties or external events.

By participating, you accept all risks, including those due to negligence.
We recommend travel insurance covering cancellations, baggage, medical needs, and evacuation.

ELIGIBILITY
We reserve the right to accept, decline, or remove any participant at any time for the following reasons:

• Non-payment

• Disruptive or unsafe behavior

• Legal violations

• Misalignment with Iron and Zen values

No refunds will be issued if you are removed.
Background checks may be conducted before acceptance.

PHOTOS & VIDEO
By joining, you give us permission to use your photo or video for promotional purposes, without compensation.
If you submit content to us, you confirm that:

• You own the content or have rights to share it

• Anyone depicted has consented

• You grant us a royalty-free, global, perpetual license

• You release us from any claims related to the content

TRAVEL REQUIREMENTS
You are responsible for passport, visa, and health requirements.
Check official resources well in advance of your trip.

EVENTS BEYOND OUR CONTROL
We are not liable for delays or cancellations caused by events beyond our control, such as:

• Natural disasters

• Government restrictions

• Civil unrest

• Transportation disruption

FORCE MAJEURE
We are not required to provide refunds for events outside our control, including but not limited to:

• War

• Strikes

• Pandemics

• Fires or floods

LEGAL JURISDICTION
These Terms are governed by the laws of the EU, Germany and Portugal.
